I think your response to your ex is a clear answer to your question ! You do need to pay for the gas, that’s part of being in business. You should always charge at least a minimal amount to each account for travel time on top of your regular price. maybe 1/2 of your hourly rate per job. Cost effective !

You’re talking about your work truck/van that they take to client’s home, filled with your tools…correct? Absolutely you should pay for it. I don’t see how that could possibly be seen as their responsibility.

do you issue your employee a company credit card. a company gas card. a pre loaded cash card. fill it up at the end of each day yourself. give them a certain amount of money each day.

I use fleet cards. I got them from ifleet.com or fleetcardsusa.com . There is one in each truck and they have their own code that matches the truck. Whoever uses it has to input the mileage before they pump and you get a report every month with MPG, miles, etc. And they cant use it to buy anything but gas so they wont spend your money on chips and sodas.
Unless you’re driving tons and tons of miles, you should be able to fill up once a week or a least every few days… our vans have 30+ gal tanks though so that helps. I keep a Shell credit card in the van and have the saturday guy go fill it up.
Your truck, your liability and your responsibility. You get to deduct either the expenses or the mileage, they don’t. Your former employer making you pay for the gas was completely out of line.
Similar to Wayne805, I have a shell fleet card kept in the van. It can only be used for gas and oil changes. Even though I have the guys write the mileage on the receipt out of habit, they do have to punch in the odometer reading into the gas pump before filling up.

I think it is best to just let the guys pay for the gas, and then to pay them back with cash, and keep the receipt.
What is the advantage (you used the word “best”?)
Only if the trucks are low on gas do the guys fill them up. They get reimbursed the same day. Maybe I should look into the ifleet card.
Unless you want to be working alone I would pay for gas.
The work Truck/Van that you own & pay the gas for, should be used for big jobs only, smaller route jobs they should use their own vehicle & pay for their own gas. This is how it’s done on the commercial side. Residential is different…you’re not doing 8-10 jobs a day.

That’s the way I had it for the last 17yrs working Commercial all over Chicagoland. I know of more than 1 company that does it that way. You get 30-35% of the job, so included in that is a lil gas money. You sell the tools to them & when they quit or get fired you get the tools back & give them their money back(if the equipment is in decent shape). If not, then they don’t get their money back.
